PURPOSE OF ROLE - Why does the role exist?
To provide an efficient information and document management service to the organisation to support the business objectives.
PRINCIPAL DUTIES - Areas of responsibility:
General IM Support Duties
- Assist staff with the review of hardcopy archives
- Coordinate the shipment of archive boxes to and from offsite storage
- Assist in the setup and support of Cairn Data Rooms
- Review and upload information, data and records from farm-in/JV opportunities
- Coordinate technical books, journals and reports as part of our Exploration Library
- Coordinate our ongoing IM services agreements with third party suppliers
- Monitor and report on Documentum/e-Room usage statistics
- Assist users with their understanding and knowledge of our IM systems, workflows and policies
- Assist in the IM on-boarding and off-boarding of staff and contractors
- Provide cover and backfill for the Information Officer (Geo-technical)
Content Management Duties
- Assist with the implementation of new IM technologies required by the business
- Support users in publishing, searching and finding information
- Support users in the use of e-Rooms and Documentum for board and committee meetings
- Provide content for IM web pages
- Draft and update IM policies and procedures and provide similar support to other departments
- Bar-coding and indexing of physical assets for archive
IM Systems Duties
- Create folders, searches, links and new users as part of Documentum administration
- Create and run DQL/SQL queries to report on various aspects of Documentum
- Assist Oracle business users in creating Documentum links in Oracle
- Provide administration support for Documentum, e-Room and other EMC tools
OPERATING NETWORK - Internal/External Stakeholders
- Close working relationship with all business functions and project based teams
- Ability to communicate with management and staff across the entire organisation
- Build relationships with key suppliers to get the most out of our technology and information assets
- To work closely with our Information Officer (Geo-Technical) and Group Information & Data Manager in the delivery of IM solutions
SKILLS/EXPERIENCE REQUIRED
Education:
Degree qualified in a Geoscience or Information Management discipline
Relevant Experience:
- Hands-on experience preferably within an Oil and Gas Exploration and Production Company.
- Awareness, knowledge and hands-on experience working with a wide range of business information types and managing the delivery of IM solutions spanning digital and hardcopy assets.
- Hands-on experience with EMC Information and Content solutions including Documentum, e-Room, File Share Services, Branch Office Caching and Retention Policy Services would be highly advantageous.
- Good knowledge and understanding of E&P technical data and document control within assets, exploration teams and engineering projects is desirable.

Technical Competencies:
- Ability to project manage the implementation and delivery of IM systems and workflows
- Experience in writing and updating of IM policies and procedures to meet business needs
- Proven experience with physical assets and archiving
- Monitor and publish daily well operations reports from e-Room to Documentum
- Significant experience with ERM systems preferably Documentum
- Administrator experience with Documentum
- Hands-on experience with SQL/DQL
- E-Room Administrator experience
